A lead fills in your contact form on Saturday night. You see it Monday morning, coffee in hand. They hired someone else on Sunday. Nothing was wrong with your work; you were just slow to say hello.
What it does
The moment someone submits your form, AI reads what they actually asked and writes a short, personal reply from your address. Not “we have received your inquiry and will respond shortly.” A real answer to their real question, with one clear next step. At the same time you get a text with their name, number, and what they want, and the lead is filed in your sheet or CRM.
The reply goes out in under a minute, around the clock. The follow-up conversation is still yours; the workflow just makes sure you are never the slowest bidder again.
How it works
The form submission triggers the workflow. An AI step gets the visitor’s message plus a short description of your business and tone, and returns a subject line and a two-paragraph reply. Gmail sends it, Twilio texts you the summary, and the sheet gets a new row marked auto-replied so you can see at a glance who still needs a human touch.
Setup
- Import the workflow file into your n8n instance.
- Point your website's contact form at the workflow (or use the built-in form link it gives you).
- Connect an AI provider key and tweak the two-line tone instructions to sound like you.
- Connect Gmail for the reply and Twilio (or Slack) for the owner alert.
- Submit a test lead and read the reply it writes before going live.
The template runs on n8n, any recent version, cloud or self-hosted. Every place that needs one of your accounts is marked with a note inside the workflow.
