What it does
Every day, the workflow scans your sent quotes. Three days of silence gets a friendly check-in: any questions? Seven days, a nudge with a reason to decide and your calendar link. Fourteen days, one polite last call that names the quote’s expiry date. Every message replies in the original email thread and merges the customer’s actual details, so it reads like you, following up, because you are organized.
The feature that makes it safe to run: the moment the customer replies, anything at all, the sequence stops dead for that quote. Nobody who answered ever gets chased again.
How it works
A daily schedule reads quotes still marked sent. For each, the workflow opens the Gmail thread and checks who spoke last. If it was them, the row flips to replied and exits the sequence. If it was you, it computes the days of silence, picks the right stage, sends that one message, and records it so no stage ever repeats. Three emails maximum, then it leaves them alone like a professional.
Setup
- Import the workflow file into your n8n instance.
- Point it at your quotes log (the Quote Generator's log works as-is, or map your own columns).
- Connect Gmail and adjust the three follow-up templates to sound like you.
- Add your booking link to the day-7 message.
- Seed a test row, run it manually, and confirm a replied thread gets skipped.
The template runs on n8n, any recent version, cloud or self-hosted. Every place that needs one of your accounts is marked with a note inside the workflow.
